Yeah I think you're on the right track...

- Send emails
- Phone and discuss requirements bus drivers/ venue staff
- Physically go to venue before excursion to assess it and talk to manager etc.
- Send out information letters to volunteers and parents
- talk to educators and children on expectations etc.

Hope this helps,

1. Go to the venue- Do a risk assessment
2. Discuss with center staff
3. Send permission slips to parents
4. Organize transport
5. On the day if the excursion, talk to the bus driver and find out where the emergency exits are and the first aid box
6. Have a meeting with the volunteer helpers And discuss any concerns you have with certain children.
7. Prepare the children about the excursion - show picture and learn more about the place.
8. Should already have a discussed with the venue staff about safety, where toilets are located, and any other needs.

Hope this helps too
